Privacy Policy

Purpose
Chamber of Commerce NT takes its obligations under the Privacy Act seriously and will take all reasonable steps in order to comply with the Act and protect the privacy of the personal information that we hold. This policy sets out how we do so.

Privacy Statement
It is our intention to treat all our members with respect and confidentiality and this includes information provided to us by members or gathered in the course of providing services to members.

This privacy statement applies to all our dealings with members, including the website, under the domain name www.chambernt.com.au/www.ntcci.com.au. This site is operated by Northern Territory Chamber of Commerce and Industry Inc (ABN 36 160 572 513), under the trading name of Chamber of Commerce NT.

Chamber of Commerce NT is covered by the 10 National Privacy Principles (NPPs), as set out in the Privacy Act 1988 (amended by the Privacy Amendment (Private Sector) Act 2000). To comply with our obligations under the NPPs the following is our Privacy Policy, which sets out how we manage privacy in our organisation.

When an organisation joins Chamber of Commerce NT we collect the names and job titles of key contacts within that organisation. This allows us to tailor our services to the most appropriate people within member companies. These details are used by Chamber of Commerce NT for business purposes only and are not provided to external bodies.

Your name and contact details may however, be provided to Chamber of Commerce NT related companies in order to provide you with, or make you aware of, the full range of services provided by Chamber of Commerce NT and these related organisations.

The personal information the organisation collects
Chamber of Commerce NT may collect and hold the following personal information: names of employees and proprietors of organisations; addresses; telephone numbers; facsimile numbers; e-mail addresses; titles and professional affiliations; staffing information; traineeship details and information on participation in Chamber activities.

Collection Statement
Chamber of Commerce NT collects, uses and discloses personal information in accordance with the following Collection Statement:

"Northern Territory Chamber of Commerce and Industry Inc (under the trading name of Chamber of Commerce NT) collects personal information. The nature of the personal information collected may include names, contact addresses both electronic and otherwise and professional affiliations. These details are collected for the purpose of providing our services to members and clients; selling and marketing our products and extended range of services; processing bookings; and processing payments for membership, services and products. We may also use personal information to apply customer/member satisfaction surveys and events such as "loyalty" programs. From time to time, Chamber of Commerce NT enters into strategic alliances to improve member services. Information collected may be used by those strategic partners where Chamber of Commerce NT is satisfied with the privacy protocols of that partner and after signing a confidentiality agreement."

Access to your personal information
Chamber of Commerce NT provides access to your personal information in accordance with its Access Policy. If you require access to your personal information, please contact our Membership Officer Delegate on 08 8982 8100.

Complaints
If you have any complaints about our privacy practices or wish to make a complaint about how personal information is managed, please contact our Membership Officer Delegate on 08 8982 8100. Complaints will be handled under the Chamber of Commerce NT Complaints Policy.

Storage
We will take all reasonable steps to protect the security of the personal information that we hold. This includes appropriate measures to protect electronic materials and materials stored and generated in hard copy.

Contracting Out
We do not currently contract out our data storage or processing functions. If this function is contracted out in the future, we will take measures to protect the information by specific and legal restraint contracts.

Use and Disclosure
Personal information is collected for the purpose of providing services to our members; the marketing of new products and services; processing of payments; the provision of training; staging of events; identification of members with common interests and to facilitate feedback and consultation on policy matters.

Chamber of Commerce NT will not disclose this information to other organisations without the approval of the member.

Legal reasons why we collect personal information
In some cases, we collect personal information in order to comply with our legal obligations in areas such as Government Grant Projects. These are not common requirements.

What happens if you choose not to provide personal information?
You are not obliged to provide Chamber of Commerce NT with your personal information - however, withholding personal information may prevent us from providing your organisation with the full range of our services.

Sources of information
Where possible, Chamber of Commerce NT will collect the information directly from its members and clients. On some occasions, personal information may be collected from press reports or published media.

Access Policy
This policy is directed to those individuals whose personal information is held by Chamber of Commerce NT, ie Trainees, Students.

Purpose
The purpose of this Policy is to set out how Chamber of Commerce NT will provide access to your personal information. The Policy is part of our Privacy Policy and our desire to provide for, maintain and give effect to our privacy obligations.

Overriding principles
At all times the conduct under this Policy will be governed by the following principles:

- All requests for access will be treated seriously
- All requests will be dealt with promptly
- All requests will be dealt with in a confidential manner
- Your request to access your personal information will not affect your existing obligations or affect the commercial arrangements between you and Chamber of Commerce NT.

Form of Access
Chamber of Commerce NT will provide access by allowing you to inspect, take notes of or receive copies or print outs of the personal information that Chamber of Commerce NT holds about you. You can make your request in writing by contacting:

To obtain access you will have to provide proof of your identity. This is necessary to ensure that personal information is provided only to the correct individuals and that the privacy of others is not undermined.

When will Access be denied?
Access will be denied if:

- the request does not relate to the personal information of the person making the request
- providing access would create an unreasonable impact on the privacy of others
- the request is frivolous and vexatious
- the request relates to existing or anticipated legal proceedings
- providing access would prejudice negotiations with the individual making the request
- access would be unlawful
- denial of access is authorised or required by law
- access would prejudice law enforcement activities
- access discloses a 'commercially sensitive' decision making process or information
- providing access would pose a serious and imminent threat to life or health of a person
or any other reason that is provided for in the National Privacy Principles (NPPs) set out under the Privacy Act.

Where possible, Chamber of Commerce NT will favour providing access. It may do so by providing access to the appropriate parts of the record or by using an appropriate 'intermediary'.

Time
We will take all reasonable steps to provide access within a reasonable time of your request. In cases where the request is not complicated or does not require access to a large volume of information, we will provide information more quickly.

If you have provided us with personal information you may make a complaint, have it investigated and dealt with under this policy.

What is a privacy complaint?
A privacy complaint relates to any concern or dispute that you have with our privacy practices as it relates to your personal information. This could include matters such as:

         (a)    How personal information is collected
         (b)    How personal information is stored
         (c)    How this information is used or disclosed
         (d)    How access is provided
         (e)    How accurate the information is that we hold.

Chamber of Commerce NT resolves grievances at the local level if possible. If you have a complaint about privacy please contact the Privacy Officer.

All complaints will be logged on a database/complaints register.

Usually your contact with Chamber of Commerce NT will be the appropriate person to discuss or resolve your complaint, however, if your privacy complaint is not resolved the matter will then be referred to the Privacy Officer, and then if necessary to the CEO.
